Web Design Malaysia: How to Write a Website Brief That Gets You Accurate Quotes

Most Malaysian SMEs get wildly different website quotes because the brief is vague. Here is exactly what to write down so every quote you receive is comparable and honest.

Why Three Quotes Come Back RM3,000, RM9,000 and RM40,000

It is rarely because one agency is greedy and another is cheap. It is because all three guessed at different things. Without a brief, one assumes five pages of content you supply, another assumes copywriting, photography and a booking system, and the third assumes an enterprise build. You cannot compare them, so you pick on price and regret it later.

A one-page brief fixes this. You do not need technical vocabulary — you need decisions.

1. State the Business Outcome, Not the Feature List

Write one sentence: "We want qualified enquiries from Klang Valley homeowners for aircon servicing, at least 30 a month." Every good agency will design differently for enquiries than for online sales or for brand credibility. Feature lists without an outcome produce pretty sites that sell nothing.

2. List the Pages You Actually Need

Count them. Home, about, three service pages, pricing, contact, blog listing — that is nine, and it prices very differently from thirty. If you are unsure, list what you know and mark the rest as "to be advised". Page count is the single biggest driver of the number you receive.

3. Say Who Writes the Words and Who Takes the Photos

This is where most Malaysian projects stall for months. Be explicit: are you supplying text and images, or do you need copywriting and a photo shoot? A build waiting on content is not a design problem, it is a scope problem — and it is the most common reason a six-week project becomes six months.

4. Confirm Languages Before Design Starts

English only, or English plus Bahasa Malaysia and Chinese? Retrofitting a third language after launch costs more than building for three from day one, because navigation, URLs and search-engine tags all change. Decide now, even if you launch languages in phases.

5. Name Every System It Must Talk To

Payment gateway, WhatsApp, e-invoicing for LHDN, POS, accounting software, booking calendar, CRM, delivery partner. Every integration is real work. If you leave them out of the brief, they arrive as variation orders later. Where possible, name the exact product you use today.

6. Give a Budget Range and a Real Deadline

Withholding your budget does not get you a better price; it gets you a proposal aimed at the wrong tier. A range is enough: "RM5,000-RM10,000, launch before Raya." 7. Ask What Happens After Launch

Who hosts it, who updates it, who fixes it at 11pm, who owns the domain and the code, what monthly cost you should expect, and how you edit your own content. Put these questions in the brief and make every quote answer them. A cheap build with no aftercare is the most expensive option available.

8. Define How Success Will Be Measured
