A logistics website may prove capability, but a structured RFQ determines whether a freight, haulage or warehouse enquiry reaches the right dispatcher with usable details.
A logistics buyer does not want to submit “Please contact me” and wait while a shared inbox decides who owns the enquiry. The operations team needs origin, destination, cargo, volume, timing and service requirements. The buyer needs confirmation that the request reached someone who understands the job.

Start with the service decision
The first question should classify the job: haulage, freight forwarding, customs support, warehousing, fulfilment, cold chain, project cargo or a combined requirement. Do not show every question at once. Reveal the next fields based on that selection.

Each branch creates a clean operations summary. The website becomes a dispatcher rather than a decorated brochure.
Ask for enough detail without blocking urgent jobs
Mark only the fields needed to identify fit and urgency. Allow “estimate” or “to be confirmed” where buyers genuinely may not know the answer. Provide an urgent-contact route for same-day operational issues, but do not promise instant service unless the team can deliver it.
Useful shared fields include company, contact, pickup and delivery postcode or port, commodity, dangerous-goods status, target date and permission to contact. Avoid collecting identification or customs documents before the company accepts the request and provides a secure channel.
Route by service, geography and urgency
A practical routing model can assign the RFQ using three layers:
- Service owner: forwarding, haulage, warehouse, fulfilment or cold-chain team.
- Operational geography: Port Klang, Shah Alam, Klang Valley, interstate or international desk.
- Timing: planned tender, standard quotation or time-sensitive request.
Send the lead to a named queue with a backup owner and escalation time. A workflow AI agent can summarise the request, flag missing information, create the CRM record and notify the correct team — but final feasibility and pricing stay with a person.
Confirm receipt with a useful reference
After submission, show an RFQ reference and email the captured summary to the buyer. State the response window in business hours and identify any missing item that could delay a quote. If the buyer continues on WhatsApp, carry the reference into the prefilled message.
This simple confirmation prevents duplicate submissions and gives procurement teams something they can forward internally.
Build a safe document handover
Commercial invoices, packing lists, permits and customer data do not belong in an unrestricted public upload. The first RFQ may accept a non-sensitive specification sheet, but operational documents should move to an authenticated portal or controlled link after the enquiry is assigned.
Set file expiry, access logging and a retention period. Publish a short privacy notice beside the form. Good security is part of logistics capability because a buyer is trusting the provider with its routes, customers and cargo.
Connect each RFQ to the right proof
Before submission, show proof relevant to the selected service: fleet type for haulage, warehouse dimensions and handling equipment for storage, temperature controls for cold chain, supported trade lanes for forwarding, and system integrations for fulfilment.
Use real photographs and verifiable certifications. State limits as clearly as capabilities. Buyers trust an operator that says what it does not handle more than one that claims every service everywhere.
Support procurement without slowing operations
Larger buyers may need insurance, licences, safety documents, sustainability information and vendor-registration details before awarding work. Place current, approved material in a procurement section and gate confidential documents behind a verified request. This reduces repetitive email while keeping control of sensitive records.
Measure the quality of the RFQ pipeline
- RFQs by service and source page.
- Percentage arriving with sufficient data for an initial feasibility check.
- Time from submission to assigned owner.
- Time to first useful response, not just an automated acknowledgement.
- Quotation rate, win rate and reasons for lost work.
- Enquiries routed incorrectly or reassigned.
If the form completion rate is low, remove questions that do not change routing. If reassignment is high, fix the classification rules. If response is slow after correct assignment, the issue is operational rather than visual.

- Group them by service and create conditional question sets.
